Essential Job Duties/Scope of Work:
International Medical Corps is a global, humanitarian, nonprofit organization dedicated to saving lives and relieving suffering through health care training and relief and development programs.

Established in 1984 by volunteer doctors and nurses, International Medical Corps is a private, voluntary, nonpolitical, nonsectarian organization. Its mission is to improve the quality of life through health interventions and related activities that build local capacity in underserved communities worldwide. By offering training and health care to local populations and medical assistance to people at highest risk, and with the flexibility for rapid response to emergencies. International Medical Corps rehabilitates devastated health care systems and helps bring them back to self-reliance.

International Medical Corps has been working in Yemen since 2012 and implements its programs through the country office in Sana'a and two field offices (Ibb and Aden). As the emergency has evolved, International Medical Corps has continued providing essential lifesaving support to communities under volatile conditions in the health, nutrition, WASH, and food security and livelihoods sectors. International Medical Corps is currently implementing in six governorates of Yemen: Sana'a, Ibb, Taiz, Aden, Lahj, and Al Dhalea. Across all six Governorates, our integrated response is designed to deliver a core package of interventions to reach the most vulnerable, conflict-affected, and/or displaced communities with funds a diverse portfolio of institutional, UN, and private donors. 

International Medical Corps has established partnerships with government authorities such as Ministry of Planning and International Cooperation (MOPIC), Ministry of Public Health and Population (MOPHP), National Security, Cleaning Fund, General Authority for Rural Water Supply Projects (GARWSP), Ministry of Agriculture, in order to facilitate access to facilities and communities, for monitoring, and to support the transportation of supplies. International Medical Corps also participates in clusters and coordinates with local and International NGOs to improve quality and to avoid duplication support.
 
The Grants Management and Information Coordinator works in close collaboration with the Program Director to provide administrative and technical guidance and support to all aspects of the program cycle from design, implementation, management, reporting and communication. S/he supports high quality write up for technical assessments, contributes to technical concept notes, budget development, procurement plans, work plans, etc. S/he is accountable for effective and transparent communication with donors and Headquarters about the progress on project outputs. Responsible for staff supervision, management and capacity building. 

 Grants Management 
Work in tandem with the Program Director and technical program staff to support the development and drafting of concept notes, full proposals, modification requests, and supporting documents according to the program management tool. 
Provide assistance in preparation of budgets in coordination with program and finance personnel 
Organize and support in grants kick off meetings 
Participate in and support grant review meetings and provide advisory assistance to program staff 
Tracks program progress on a monthly/quarterly basis 
Support in collating information for proposal development, donor information requests, coordinating inputs from relevant staff
Maintain grants filing system for all IMC Yemen grants, including agreements, proposals, revisions, reports, etc. 
Support program compliance and internal control procedures according to internal and donor regulations 
Liaise with in-country, regional and headquarters on grant management activities, including ad hoc requests for information and updates 
Support closeout of awards, including preparation of final inventories, property disposition, etc.
Analyze and evaluate grant performance and budget burn rates and compliance with donor regulations, recommending award actions to the team;
Liaise with the Grants and Contracts Management Department at HQ as necessary regarding donor requirements and internal IMC procedure
  
Reporting 
Support program team and local partners in program design and reporting through the capacity building trainings, development of standardized information and reporting tools 
Manage information for regular situation analysis (security, political, media, from other agencies/actors), regarding humanitarian needs and data collection from program activities 
Maintain a donor reporting schedule and share with relevant staff on a timely basis 
Support the development of communication tools (for internal and external use), including maps, case studies, and infographics 
Work with project staff to ensure that implementation of grants and contracts follows donor requirements
Under the supervision of the Program Director and in close collaboration with the MEAL Manager, ensure timely compilation of programme and project data to comply with internal, donor, and sector coordination reporting requirements by deadline;
Ensure tools and processes are adequate and in place for purpose to collect relevant quantitative and qualitative information required for reporting to a range of stakeholders;
Provide editing and quality assurance of all internal and external reports for review by the Management prior to dissemination.

Internal/External Coordination 
Coordinate with sub-grantees at the field level to support coordination of activities, quality reporting, and capacity building 
Support information flow from the field, regionally and with headquarters and maintain open communication with the Desk at Headquarters
Keep the donors timely updated on vital issues impacting project implementation

Promote and encourage a culture of compliance and ethics throughout International Medical Corps. As applicable to the position, maintains a clear understanding of International Medical Corps’ and donor compliance and ethics standards and adheres to those standards.  Conducts work with the highest level of integrity. Communicates these values to staff and to partners and requires them to adhere to these values.

Prevention of Sexual Exploitation and Abuse
Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within International Medical Corps and amongst beneficiaries served by International Medical Corps.

Qualifications:
Qualifications
Master’s degree in Social Sciences, Business Administration, International Development and/or in a relevant field of study 
 
Experience
At least 3 years of experience with an international humanitarian organization 
Experience writing proposals and managing information related to large-scale emergency response and reporting to donors (OFDA, BPRM, DFID, ECHO, UNHCR, OCHA, etc.) 
Previous experience in the Middle East
Insight into health services, WASH, FSL and nutrition programming
Ability to exercise sound judgment and make decisions independently 
Ability to meaningfully contribute to decision making processes 
Strong leadership and communication skills, ability to lead and coordinate processes across a number of departments 
Flexible, able to cope with stressful situations and frustrations 
Demonstrated analytical, motivational, communication, project conceptualization and planning skills;
Experience and understanding of institutional donor policies, guidelines and strategies e.g. USAID, OFDA, ECHO, and UN
Demonstrated experience in WASH proposal development and preparation of internal and donor reports.

Competency
Ability to effectively present information (both written and verbally) and respond appropriately to questions from senior managers in the field and HQ, counterparts, senior government
Works well in and promotes teamwork, comfortable in a multi-cultural environment, flexible and able to handle pressure well
Demonstrated experience of working closely with support functions (finance and logistics) on activity and procurement planning.
Competent in MS Excel, Word, Power Point, and tools useful in information management and program reporting, ie. mapping 
Fluent in English (Spoken and written).
A functional knowledge in Arabic is a plus
