JOB SUMMARY

The Data & Operations Team is responsible for the back-office support of all fundraising activities in Resource Development (RD) in the areas of gift processing, record maintenance, fulfillment, data analysis, database management, prospect development, and compliance. The Data & Operations Team creates efficiency by supporting backend needs across fundraising channels, innovates new solutions for overcoming obstacles, and strikes for its timeliness, scalability and data-driven culture. The Resource Development Assistant plays a critical role in the team through processing online and offline gifts, maintaining high quality donor information, and supporting donors with positive stewardship experience. 



ESSENTIAL RESPONSIBILITIES

Gift Processing & Acknowledgment



  • Work with the Finance department to process offline gifts securely and in a timely manner.

  • Process online, wire-transfer, PayPal, mobile, and 3rd party website aggregator gifts.

  • Batch and charge recurring gifts; follow up with donors on declines and other pledges. Work closely with RD Manager to improve sustainer program gift collection and maximize revenue.

  • Generate and execute gift receipts and acknowledgments. Ensure acknowledgments are correctly personalized for proper stewardship of donors.

  • Maintain both electronic and hardcopy file system of all gift and donors.


Data Maintenance & Fundraising Operations



  • Manage customer service inboxes. Serve as the front-line of Resource Development and escalate issue and alert appropriate team members. Work with fundraising officers and Communications on developing and executing talking points.

  • Enter gift, biographical and other customer relationship data in accordance with business rules in order to enable fundraising analysis and to ensure audit compliance.  

  • Work closely with RD Data Officer to carry out data governance and cleansing tasks to ensure highest donor database quality.

  • Perform detailed and effective data exports and reporting

  • Monitor and process e-mail subscriptions, solicitation preference, address change, returned mail, and other donor preference inquiries.

  • Responsible for fulfillment of donation programs, such as tribute card, premium, and information packets.

  • Support the execution of in-house mass mailing to high-touch donors.


Team Support



  • Help update and maintain the shared drive for Resource Development.  

  • Manage the team’s administrative documents and schedule departmental meetings.

  • Possess good understanding of fundraising program and cultivation calendar. Troubleshoot and escalate system issues. Constantly identify both process and database improvement opportunities.

  • Support other activities within the department as assigned. For example, assisting in donor research, execution of marketing and cultivation mailings, preparing donation reports, assisting RD Manager in various fundraising registration and application.

Qualifications:

QUALIFICATIONS: 



  • Entry level position with bachelor’s degree or higher. Preferably with prior experience in business operations or fundraising operations.

  • Excellent organizational skills and superb attention to detail a must

  • Proficiency with Microsoft Office. CRM and/or Raiser’s Edge experience a plus.

  • Excellent time management skills and ability to meet deadlines

  • Ability to multi-task and assume a workload that frequently necessitates an adjustment of priorities

  • Conveys a positive attitude both within and outside the group. Displays sound and fair judgment, and escalates issue effectively.

  • Practices discretion with sensitive materials and information. This position is subject to and must pass a background check.
