Essential Job Duties/Scope of Work:

SUMMARY:    The International Human Resources Admin Assistant’s role is to provide support to the administration of the day-to-day operations of the international human resources function.  Based in the Los Angeles, CA office, the incumbent reports directly to the Manager of Human Resources Administration and is responsible for a variety of activities within all the functional areas of human resources administration.

 

RESPONSIBILITIES:

  • Work under the direction of the Manager of Human Resources Administration to ensure all employment induction paperwork is properly completed by new and existing employees.
  • Collect all appropriate employment forms and ensure proper filing per existing filing systems.
  • Prepare employment agreements, amendments fand employment verifications or the Manager of Human Resources Administration's review.
  • Under the direction of the Director, International HR and Recruiting  process all employee contract amendments which include: drafting of employment contracts, following up for appropriate signatures and preparing appropriate documents for entering the information in the HRIS system.
  • Under the direction of the Director, International HR and Recruiting  liaise with appropriate departments, including Payroll, regarding employee processing and changes to employee information.
  • Under the direction of the Director, International HR and Recruiting communicate with appropriate supervisor to obtain separation documents for employees that are ending assignments.
  • Under the direction of the Director, International HR and Recruiting  ensure file close-out for all separated employees, volunteers and consultants and preparing appropriate documents for entering this information in the HRIS system.
  • Perform other duties as assigned.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential function with or without reasonable accommodation.

  • Bachelor’s degree, Human Resources preferred or other related discipline AND1-3 years’ experience working as a Human Resources Assistant OR an equivalent combination of education and experience to meet the qualifications above
  • Experience with international development work or emergency relief and humanitarian is a plus
  • Ability to work in a fast-paced environment with constant change of needs based on emergency responses
  • Strong technical knowledge of all the functional areas of human resources administration
  •  Demonstrated ability to learn quickly
    Ability and willingness to establish successful working relationships with colleagues and internal clients
